How Cost Tracking Works

win.sh enforces an internal margin to prevent budget overruns. Before any agent starts a task, the system checks:

agent.budget.spent + estimatedTaskCost < agent.budget.monthlyLimit

If the estimated cost would push the agent over budget, the task doesn't start. The agent reports the situation to the AI CEO, which can either reallocate budget from another agent or escalate to you for a decision.

This means agents never accidentally overspend. The worst case is that an agent underspends slightly because the last task of the month was too expensive to fit within the remaining budget.

Smart Model Routing

Budget management isn't just about setting limits — it's about spending wisely. win.sh routes tasks to the most cost-effective model that can handle them:

  • Simple lookups and monitoring go to fast, cheap models (Haiku, Flash)
  • Analysis and reporting go to mid-tier models (Sonnet)
  • Complex research and planning go to premium models (Opus)
  • Memory and reflection go back to cheap models

This means your agents aren't burning premium model credits on simple tasks. The system automatically uses the right tool for the job.

Setting Budgets in Practice

Here's a practical framework for setting agent budgets:

Start low, increase based on value. Give each agent a conservative budget for the first month. Watch what it accomplishes. If the research agent delivers valuable competitive intel for $15/month, that's a clear win. Increase its budget to let it do more.

Budget by role, not by task. Don't try to micro-manage individual task costs. Instead, give each agent a monthly budget that reflects its importance. The agent handles the task-level prioritization within that budget.

Review monthly. Look at the cost-per-outcome for each agent. Is the reporting agent's daily briefing worth $8/month? Is the research agent's weekly competitive analysis worth $20/month? Adjust budgets based on actual value delivered.

Transparency Is Non-Negotiable

The most important aspect of AI budget management isn't the controls — it's the transparency. You should always be able to see:

  • What each agent spent and on what
  • What the total cost was for any given period
  • How costs trend over time
  • Where the money goes (which models, which tasks)
